Map the lifecycle first
Write the stages from lead source to paid invoice. For each stage, identify the record, owner, next action and exit condition. Software is selected after the map exists.
Assign systems of record
The CRM usually owns company, contact and opportunity context. The accepted commercial document owns scope. The delivery tool owns work status. The finance system owns the accounting record.
Price the stack as a stack
Include every seat, annual invoice, onboarding fee, add-on and explicit migration assumption. Keep currencies separate rather than hiding an exchange-rate assumption.
